This policy explains how we handle personal information when you use prodexter.app and the ProDexter product.

This policy applies to website visitors, people who use the ProDexter app, and prospects who contact us or book a demo.

• Contact form data: your name, email address, company, and the message you send.
• Demo booking data: the details you enter when you book a demo, such as name, email and time slot.
• Account data: the details you give when you create an account.
• Usage data: basic information about how the site and app are used, such as pages viewed and device or browser type.
• Cookies and analytics: see the Cookies section below.
• Connected app data: data from apps you connect to ProDexter. We process it only on your instruction, to provide the service.

ProDexter uses a bring your own key (BYOK) model. You supply API keys from the AI providers you choose.

• We store your AI provider keys in encrypted form. API keys you provide through the BYOK (bring your own key) feature are encrypted at rest using AES-256 and transmitted exclusively over TLS 1.2 or higher. Keys are stored in isolated, access-controlled vaults and are never logged, cached in plaintext, or shared with third parties. You can rotate or delete your keys at any time from your account settings.
• We use a key only to call the AI provider you chose, on your behalf.
• We never sell your keys or share them with anyone other than the provider you chose.
• You are responsible for your provider account, key security, usage charges and the provider’s own terms and privacy policy. Prompts and outputs sent to a provider are handled under that provider’s terms.
• If you think a key was exposed, revoke it with your provider and remove it from ProDexter.

We use personal information to run and secure the website and product, answer your messages, book and hold demos, provide and improve the service, send service emails, and meet legal obligations. We do not sell personal information.

If you are in the European Economic Area or the United Kingdom, we rely on these legal bases under the GDPR and UK GDPR: performance of a contract, our legitimate interests (running and securing the service), your consent (for example optional cookies and marketing), and compliance with legal obligations.

We share information only with service providers that help us run the site and product, and with the AI providers you choose. Current providers for this website:

• Hosting: Amazon Web Services (AWS), with infrastructure located in the United States and the European Union (production host to be confirmed; local development runs on Docker).
• Email delivery (SMTP): a transactional email service provider through WP Mail SMTP (Mailpit is used in local testing only).
• Analytics: privacy-focused analytics tools that do not use third-party tracking cookies, loaded only after consent through our cookie tool.
• Demo booking: Calendly, or the booking tool we confirm before launch. our scheduling integration
• Cookie consent: Complianz.
• AI providers: the providers you choose and connect with your own keys.

We may also disclose information if the law requires it, or in a business transfer such as a merger.

Our team operates from outside the United States, and our providers may process data in other countries. Where required, we use appropriate safeguards for transfers, such as standard contractual clauses. Standard Contractual Clauses (SCCs) approved by the European Commission, along with supplementary technical and organizational measures where required

We keep personal information only as long as needed for the purposes above, or as the law requires. Retention periods: Account data is retained for the duration of your active account and for up to 90 days after deletion. Usage logs are retained for 12 months. Billing records are retained for the period required by applicable tax and accounting laws (typically 7 years). You may request earlier deletion of personal data by contacting us at privacy@prodexter.app.. You can ask us to delete your data at any time.

We use reasonable technical and organizational measures to protect personal information, including encrypted storage of AI provider keys. No system is perfectly secure, so we cannot guarantee absolute security. Details of our measures: We implement industry-standard security measures including encryption at rest and in transit, role-based access controls, regular security audits, automated vulnerability scanning, and incident response procedures. Our infrastructure is hosted on SOC 2 certified providers..

GDPR and UK GDPR: you may request access, correction, deletion, restriction, portability, and object to processing, and withdraw consent at any time. You may also complain to your local data protection authority.

California (CCPA and CPRA): you may request to know, delete, and correct personal information, and opt out of sale or sharing. We do not sell personal information. We will not discriminate against you for using these rights.

Other US states: residents of other states with privacy laws may have similar rights.

Our website and product are not directed to children under 16. We do not knowingly collect personal information from them. If you think we have, contact us and we will delete it.
